You can record two greetings: one for when you're on a call and one for when you don't answer. You can also record your name.
Record a greeting from your desk phone
- Step 1:Open your mailbox
Dial *123 and enter your PIN.
- Step 2:Press 0 for mailbox options
This opens the options menu.
- Step 3:Choose what to record
Press 1 for your unavailable greeting, which callers hear when you don't answer. Press 2 for your busy greeting, which callers hear when you're already on a call. Press 3 to record your name.
- Step 4:Record it
Follow the spoken prompts.
Keep each greeting to about a minute or less. A short one that gives your name and says when you'll return calls works well.
Going away?
Use a temporary greeting instead of changing your regular ones. See Set and remove an out of office greeting.
Let your admin upload a recording
If you have a professionally recorded file, your admin can upload it in your voicemail settings. Files in the wrong audio format won't play, so ask your admin or support for the requirements first.
Record a greeting for a phone menu or ring group
If your admin asks you to record a greeting for the company's phone menu or a ring group, use these codes from your desk phone:
- *301 records a new greeting or sound file.
- *303 followed by the menu or ring group number records that greeting again.
- *304 followed by the number does the same and deletes the old greeting.
Follow the spoken prompts after each code.
