Set up busy lamp, park and speed dial keys on desk phones

  • Audience: Admins
  • Audience: End users

Last updated

Many desk phones have a row of programmable keys beside the screen. You can set them up from the admin portal so each key does one job, like lighting up when a coworker is on the phone or parking a call with one press.

Some labels in your portal or apps may look slightly different from this guide.

Before you start

  • The phone has to be one that CallSprout set up to configure itself, so your key changes reach it. If you're not sure, ask support.
  • Not every phone supports every key. Busy lamp keys need a phone that supports them.
  • If you're not the admin and want keys changed on your own phone, ask your admin. Depending on your setup, you may be able to edit your list in your user portal.

Open a user's key list

  1. Step 1:
    Open the user

Go to Extensions, find the user whose phone you're setting up and select the edit icon.

  2. Step 2:
    Open their call settings

    Select Enhanced Services.

  3. Step 3:
    Turn on the key list

Select Directory/BLF List, set it to allowed and save. An edit button appears for it once it's saved.

  4. Step 4:
    Edit the list

Select the edit button to open the list of keys.

Add busy lamp keys

A busy lamp key, often called a BLF key, watches another extension and shows that person's status on your phone.

For each coworker you want on a key:

  1. Step 1:
    Add a row

Enter their extension in Extension and a short Label, such as their first name, for the phone's screen.

  2. Step 2:
Make it a busy lamp key

Tick BLF. Without it, the entry is a directory contact rather than a key.

Then set BLF start to the key position where the first one should go. Turn on Clear unused if you want the phone to keep only the keys in this list. Save when you're done.

Choose a type for each key

On some phone models the list lets you pick a type for each key. Ask support whether your phones support this. The types are:

Key types
TypeWhat to enterWhat the key does
BLFThe extension to watchShows that coworker's status.
Speed DialA company speed dial codeDials that speed dial. See use speed dial codes.
Call ParkingFilled in with the park codeParks the call you're on. See park and retrieve calls.
Custom Access CodeAny star codeDials that code, for example Do Not Disturb on with *78.
NoneNothingLeaves the key blank.

Each key also takes a Label for the phone's screen. On Contact Center Pro, there's also a key type for agent login and logout.

Show whether you're open or closed

A busy lamp key can also show whether business hours for a phone number or phone menu are open or closed, by color. Set the key's extension to *404 followed by that number.

What to expect

  • Key changes reach the phone through its automatic setup, not by typing them on the phone. If a key doesn't change, contact support.
  • The list is part of the user's settings. Set it up on the user whose phone should show the keys.
