Join a meeting by phone, and add a dial-in number

  • Audience: End users

If you can't use a browser or app, you can join a CallSprout video meeting from a phone with audio only. This works only when your company has set up a dial-in number for meetings.

This feature needs the Video meetings add-on on your account. See plans and pricing

Phone dial-in is part of the Video meetings add-on. Meetings included with every plan are joined from a browser or app.

Join by phone

Before you call, get three things:

  • The number to dial. Ask the meeting organizer or your admin. Whether your company has a dial-in number is up to its setup.
  • The meeting number. It's in the meeting invitation email.
  • Your participant ID. It's in the same email.
  1. Step 1:
    Call the dial-in number
    Dial it from any phone.
  2. Step 2:
    Follow the spoken prompts
The system asks for your meeting details.
  3. Step 3:
Enter the meeting number and your participant ID
Key in each one when asked. You join with audio only, so you can listen and talk but not see video.

If you can use a browser, joining from your browser gets you video too.

Add a dial-in number (admins)

Some labels in your portal or apps may look slightly different from this guide.

A dial-in number is a phone number that sends callers to a special phone menu (IVR) built for meetings. It takes three things: the phone number, the menu and the link between them. You build the menu. CallSprout support adds the number and links it.

  1. Step 1:
Get a phone number for it
Ask CallSprout support to add one to your account. It may be an additional local number, which is an add-on priced on your quote. Support also tells you whether your account already has dial-in available.
  2. Step 2:
    Create the meeting menu
In the admin portal, open IVR and choose Add IVR, then Show Advanced Options. Fill in IVR Name and IVR Number. Set IVR Type to Meeting IVR, Status to On, and choose an Operator Extension. The greeting field may be unavailable, since meetings use a built-in prompt. Save.
  3. Step 3:
Ask support to point the number at the menu
Send CallSprout support the phone number and the menu number you created, and ask them to send the number's calls to that menu. See change where a phone number rings.

What to expect

Share the dial-in number with the people who need it, and make sure they also have the invitation email. Without the meeting number and participant ID inside it, guests can't get in by phone.

Meetings included with every plan hold up to 3 participants, counting the organizer, and run up to 45 minutes. See meeting limits. Phone dial-in is for meetings on the Video meetings add-on, which removes those limits.
