How long are recordings, voicemail and faxes kept?
- Audience: Admins
- Audience: End users
Last updated
CallSprout keeps call recordings, voicemail, faxes and call history for a set length of time. When an item passes that point, it can drop out of the admin portal and your user portal, so save anything you need before then.
Some labels in your portal or apps may look slightly different from this guide.
How long each item is kept
| Item | Kept for | Where you find it |
|---|---|---|
| Call recordings | 30 days | Call history in the admin portal, and each person's own user portal |
| Voicemail | 4 weeks | The mailbox, from a phone or the user portal |
| Faxes | a limited time | Accounts with the Fax add-on only |
| Call history | 1 year | Call history in the admin portal, and each person's own user portal |
CallSprout sets these time frames. If you have questions about them, contact support.
Save what you need first
- Recordings. Play and download them from call history. See play, download or delete a call recording.
- Voicemail. Each person can download messages from their user portal, as listen to, move, forward and delete voicemail online explains. Voicemail by email also gives them a copy in their inbox. See get voicemail by email.
- Call history. Export it to a spreadsheet file. See export or email call history.
- Faxes. Save a copy of any fax you need to keep.
A mailbox can be set to remove each message once it's been emailed. When that's on, the email is the only copy, so the time frame above doesn't come into play.
Keep recordings for longer
This feature needs the Call recording archiving add-on on your account. See plans and pricing
The call recording archiving add-on keeps call recordings beyond the standard window above. Archived recordings stay in the same CallSprout storage, and you play them from call history like any other recording. See Keep call recordings longer with archiving.

What to expect
- Treat anything past its time frame as gone. Don't count on getting it back.
- A recording or message someone deletes earlier is gone sooner.
- Some industries and company policies call for keeping records longer. Check what applies to your business before you rely on the time frames above.
