Welcome to CallSprout. This page walks through the parts of your phone system you'll use most, then points you to the right guides for your role.
Some labels in your portal or apps may look slightly different from this guide.
What you have
- An extension. Every person on your account gets an extension, a short internal number coworkers dial to reach you. All extensions on your account have the same number of digits. We pick that length when we build your system, and it can't change later. How extension numbers work explains why.
- A phone number. Outside callers reach your company on your main number, and some people also get a direct number of their own.
- Voicemail. Each extension has its own mailbox and greeting.
- Your user portal. A web page where you manage your own settings, messages and call history.
- Ways to take calls. A desk phone, CallSprout Communicator NEXT on your computer, Communicator for the web in a browser, Communicator GO on your mobile phone, or Communicator in Teams if your company uses Microsoft Teams. The computer, browser and mobile apps come with the Communicator apps add-on. Communicator in Teams is included on every plan once CallSprout support turns it on. What each plan and add-on includes lists them, and which app to use helps you choose.
The Microsoft Teams integration features described on this page require an active, permitted connection to Microsoft Teams. Availability depends on that system's supported APIs and permissions.
Contact center teams on Contact Center Lite or Contact Center Pro also get agent and supervisor tools on top of all this.
Who does what
You handle your own day to day settings, like your voicemail greeting, call forwarding and Do Not Disturb.
Your company's phone system admin manages users, desk phones, ring groups, phone menus, business hours, greetings, hold music, contacts and paging from the admin portal.
CallSprout support handles phone numbers, emergency addresses, calling permissions, which apps each person can use and Communicator in Teams setup, and helps whenever you're stuck. If you can't find a setting this help center describes, contact support and we'll set it up for you.
