Resend a welcome email and QR code
- Audience: Admins
Last updated
The welcome email gives a new user what they need to get going, like their extension and sign in details. If it never arrived, went to the wrong address, or the person deleted it, you can send it again.
Some labels in your portal or apps may look slightly different from this guide.
Resend the welcome email
- Step 1:Open the user
Go to Extensions, find the user and select the edit icon.
- Step 2:Check the email address
Make sure E-mail holds the right address. The message can include passwords, so a typo sends them to a stranger.
- Step 3:Set a new password first (optional)
If the person is locked out, give them a new password before you send. See reset a user's app or phone password.
- Step 4:Send it
Select Save & E-mail. The portal saves the user and sends their setup details to that address.
Show the QR code for Communicator GO
Communicator GO can fill in a user's sign in details by scanning a QR code. You can show it on screen while the person scans it with their phone.
- Step 1:Open the user
Edit the user and scroll to the Authentication section.
- Step 2:Show the code
Select Show QR Code.
- Step 3:Have the user scan it
The person opens Communicator GO and scans the code. The steps on their side are in sign in to Communicator GO with the QR code.
Once the user signs in to the app, they're asked to replace the password, and the Show QR Code button no longer appears for them. If the button isn't there, or the app can't connect after a scan, contact support. The code relies on a setting on our side.
Change what the welcome email says
The message new users get comes from a template for your account. You can replace the standard wording with your own, for example to add your IT contact.
- Step 1:Open the email templates
Go to Settings, then E-mail Templates.
- Step 2:Pick the new user template
Open the New Extension template.
- Step 3:Turn on your own version
Switch on Custom Template and edit the text. Keep the placeholders in the template, such as the ones for the user's name and password, so each email gets filled in correctly.
- Step 4:Save
Save the template. To go back to the standard wording later, select Reset. That resets every version of the template, plain text and HTML alike.
Troubleshooting
- The user didn't get the email. Check the address on their settings and ask them to look in their spam folder, then send it again.
- The user can't sign in with the details in the email. Set a new User Password, then select Save & E-mail again. If that doesn't work, contact support.
