Record a menu greeting from your phone
- Audience: Admins
Last updated
You can record the greeting for your phone menu (auto attendant, also called an IVR) or a ring group from a desk phone. It's a quick way to change an opening message when your hours or offers change.
Some labels in your portal or apps may look slightly different from this guide.
Before you start
So that not everyone in the office can change your company greeting, CallSprout support limits the greeting star codes to the extensions you choose. Tell support which extensions should be able to use them. If a code doesn't work from your phone, your extension may not be on that list, so ask your admin.
Write out what you'll say first. A menu needs a greeting before you can finish setting it up, and a short, clear one is easier to record in one take.
Record a new greeting
- Step 1:Dial the record code
From a desk phone, dial *301.
- Step 2:Speak after the tone
Say your greeting. Press # when you're done.
- Step 3:Review it
You'll hear a short menu. Press 2 to listen, 3 to record again, or 1 to accept. Only pressing 1 keeps the recording.
- Step 4:Choose it in the admin portal
The system saves the file with a name that starts with greeting- and today's date. Open your phone menu in the admin portal, pick that file in the Greeting field, and save.
Replace a greeting in one step
If a menu or ring group already has a greeting, you can skip the portal.
- Step 1:Dial the replace code and the number
Dial *303 followed by the number of the menu or ring group.
- Step 2:Record as before
Speak after the tone and use the review menu. The new recording becomes that menu's greeting.
Use *304 instead, with the same number, if you also want the old recording deleted. Choose this one only when you won't want the earlier greeting back.
What to expect
- Greetings you record by phone are saved as sound files, so you can find them in the list of audio files. Upload greetings and audio file rules explains how names work.
- If your own voicemail greeting is what you want to change, use record your voicemail greetings and name instead.
- A professionally recorded file can be uploaded instead of recording by phone.
- If a recording doesn't appear in a greeting list, see why isn't my greeting in the list?.
All the codes are also on the star code cheat sheet.
