Add many users at once from a CSV file

  • Audience: Admins

Last updated

When you're setting up an office or onboarding a group, you can add many users in one go instead of one at a time. You either type them into a list on screen or upload a CSV file.

Some labels in your portal or apps may look slightly different from this guide.

Before you start

  • Pick an existing user whose setup the new people should share, like a coworker on the same team. Their settings can be copied to everyone you add.
  • Make sure the extension numbers you plan to use are free and have the right number of digits. See how extension numbers work.
  • Adding users can change your bill. Check with CallSprout if you're unsure.

Open the bulk add options

  1. Step 1:
    Start a new user

Go to Extensions and select the add icon.

  2. Step 2:
    Open the advanced options

On the first screen, open Advanced Options. This is where adding several users is switched on.

  3. Step 3:
Choose whether to send welcome emails

Send E-mail is set to Yes unless you change it. With Yes, each new user gets an email with their setup details.

  4. Step 4:
Copy settings from an existing user

Tick Extension Template and pick the user to copy. Everything in that user's setup is applied to the new ones. If you skip this, you'll need to open each new user afterward to adjust their settings.

Fill in the users

You have two ways to do it.

  • Type them in. Fill one row per person and select the add (+) icon after each row. This suits a handful of people.
  • Upload a file. Select Download CSV Template to get the header row, add one line per person, then upload the file and select Upload.

Use a plain text editor to make or change the file. Spreadsheet apps can alter the formatting when they save, and the upload may then fail.

Columns in the bulk add list and CSV file
ColumnRequiredWhat to enter
NameYesThe person's full name.
E-mailYesTheir work email. Setup details and voicemail notices go here. Each extension needs its own email address.
ExtYesThe extension number.
SecretNoThe desk phone password. If you fill it in, it must meet the password rules below.
User PasswordNoThe password for the apps and the user portal.
PINNoThe voicemail PIN.
MACNoThe desk phone's MAC address, for phones that set themselves up.
SNNoThe phone's serial number, used by some phone models.
DepartmentNoThe department to group the person under in the app contact list.
Line#NoWhich line key the extension uses on a phone that carries several extensions.
PAINoA technical caller ID setting. Leave it empty unless support asks you to fill it in.

Passwords need a strong mix of letters, numbers and symbols. A row whose password doesn't fit the rules won't be added.

Check the results

When the upload finishes, a report shows how many users were added, how many failed and how many were skipped. Check each failed row for a missing required value or a password that breaks the rules, fix it, and upload those rows again.

What to expect

  • Open any new user from the Extensions list to fine tune their settings.
  • If you turned off welcome emails, you can send them later one at a time. See resend a welcome email and QR code.
