Listen to, move, forward and delete voicemail online

  • Audience: End users

Last updated

Your user portal shows your voicemail as a list you can play from your browser. You can also download messages, file them in folders, pass them to a coworker or delete them.

Some labels in your portal or apps may look slightly different from this guide.

Before you start

The voicemail page is under Other. If you don't see it, it isn't turned on for your extension. Read Why can't I see some portal sections?.

Listen to a message

  1. Step 1:
    Open voicemail
Sign in to your user portal, then select Other and Voicemail.
  2. Step 2:
    Choose a message
Tick the box beside it. The list shows the message number, who called, the date and how long it is.
  3. Step 3:
    Play it
Select Listen. To keep a copy, select Download instead.

Voicemail transcription comes with every plan. A speech bubble beside the message number shows the transcript. Read voicemail as text has the details.

Move a message to another folder

  1. Step 1:
    Tick the message
Tick the box beside the message.
  2. Step 2:
    Pick a folder
Choose the folder you want from the folder list.
  3. Step 3:
    Move it
    Select Move.

To read what's in another folder, use the folder dropdown above the list. It starts on INBOX.

Forward a message to a coworker

Tick the message, select Forward and enter your coworker's extension number. You can forward to extensions on your own account.

Delete a message

Tick the message and select Delete. Don't count on getting a deleted message back. If you might need it, download it first.

CallSprout keeps voicemail for 4 weeks, so download anything you need to keep longer.

Change your voicemail settings

The Voicemail Features button opens your voicemail settings, such as notifications and greetings. Change what you need and save. To check your own mailbox from a desk phone, dial *123. Away from the office, you can also use the apps, get messages by email, or call in to your extension and press the star key (*) if CallSprout support has set that up for you. Check voicemail from a phone has the details and the phone menu keys. The star code cheat sheet lists more codes. To get new messages in your inbox, see Get voicemail by email.
