Sync your Microsoft 365 directory into contacts

  • Audience: Admins

Last updated

If your company keeps its directory in Microsoft 365, you can have those entries show up in your CallSprout contacts on their own, and stay current, instead of importing a file every time something changes.

Some labels in your portal or apps may look slightly different from this guide.

The Microsoft 365 integration features described on this page require an active, permitted connection to Microsoft 365. Availability depends on that system's supported APIs and permissions.

How synced contacts behave

  • They arrive as Global contacts, so everyone on your account can see them.
  • They're read only in CallSprout. Nobody can edit, delete or merge them here. Make changes in Microsoft 365 and let the next sync carry them over.
  • People with the Communicator apps see them in the Contacts tab, alongside your other company contacts.

Before you start

Two people are usually involved: someone who can change settings in your Microsoft 365 organization, and a CallSprout admin for your account. Your Microsoft 365 admin may need to approve the connection.

Prepare an app in Microsoft

Your Microsoft 365 admin does this part. Microsoft changes its screens from time to time, so follow its current instructions for the clicks.

  1. Step 1:
    Create an enterprise app
In Microsoft Azure, create an enterprise app that CallSprout will use to read your directory.
  2. Step 2:
    Give it directory access
Add one of these Microsoft Graph permissions as an application permission, not a delegated one: OrgContact.Read.All, Directory.Read.All or Directory.ReadWrite.All. Then grant admin consent for your organization. If Microsoft doesn't list these names, ask CallSprout support which permission to use.
  3. Step 3:
    Collect three values
Copy the app's client ID, a client secret, and your Microsoft tenant ID. You'll paste all three into the admin portal.

Connect it in the admin portal

  1. Step 1:
    Open the sync settings
In the admin portal, go to Contacts, then Settings, and pick the Microsoft 365 tab.
  2. Step 2:
    Enter the Microsoft details
Fill in Client ID, Client Secret and Tenant ID.
  3. Step 3:
    Set how often it runs
Enter the number of hours between syncs in Sync Interval. The default is set for your account, and you can change it.
  4. Step 4:
    Decide on automatic sync
Set Enable Sync to Yes to start a full sync right away and repeat it on your interval. Leave it at No to save your settings and sync only when you ask.
  5. Step 5:
    Save
    Save the page.

Run a sync now and check the result

Select Trigger Sync and confirm. The first run copies everything. After that, each run brings over only what changed. The status message on the tab shows when the last good sync finished and how many contacts it synced and deleted.

Remove the synced contacts

Erase Data deletes every contact that came from Microsoft 365, the activity tied to those contacts, and the saved connection settings. The portal warns you first. Use it only if you're done with the sync or want to start over.

Other directories

The portal can also sync from a custom contact source your developers run. Contact support if you want to use one.

Troubleshooting

  • Nothing synced. Check that the permission is an application permission and that admin consent was granted, then confirm the three values match the app.
  • A contact won't change. Synced contacts are read only here. Edit the entry in Microsoft 365 and wait for the next sync, or trigger one.
