Show which number or menu a call came from

When several numbers or menu options ring the same people, it helps to know how a caller got there before you say hello. You can add a short label to the caller ID that shows on the phone, like "Sales" in front of the caller's name and number.
Some labels in your portal or apps may look slightly different from this guide.
Where you can add a label
- A phone number. Every call to that number carries the label. Good for telling your main line apart from a support line or an ad campaign number.
- A ring group. Members see that the call came through the group.
- A key in a phone menu. Each option can carry its own label, so the person answering knows the caller pressed 2 for billing.
Build the label
The label is plain text plus an optional placeholder that inserts the caller's details:
| Placeholder | Shows |
|---|---|
| %CALLERID% | The caller ID as it arrived, usually the caller's name and number. |
| %CALLERIDNAME% | The caller's name only. |
| %CALLERIDNUM% | The caller's number only. |
For example, Support %CALLERID% shows the word Support followed by the caller's name and number.
Add a label to a phone number
CallSprout support manages phone numbers, so a label on a number is a change support makes for you.
- Step 1:Write the label
Decide on the text and the placeholder, such as
Ads %CALLERID%. - Step 2:Send it to support
Contact CallSprout support with the phone number and the exact label.
- Step 3:Test it
When support confirms, call the number from a cell phone and check what shows on the phone that rings.
Add a label to a ring group or menu key
You can add these yourself.
- Ring group. Edit the group, open the advanced options, and fill in Replace Caller ID with your label. If the label doesn't show up right on the phone, try putting the number placeholder in angle brackets, like
Sales<%CALLERIDNUM%>. - Menu key. Edit the menu, select More Options on the key's row, and fill in Default CallerID.
What to expect
- Keep labels short. Phone screens have limited room, and the caller's number matters more than the label.
- If a call passes through more than one labeled place, such as a number and then a ring group, call in and check which label ends up on the phone.
- Labels only change what your team sees. Callers don't hear or see them.
