Create a paging group

  • Audience: Admins

Last updated

A paging group is a named list of phones that someone can broadcast to in one go, like an overhead announcement. Your users page a group by dialing *600 followed by the group's number.

Some labels in your portal or apps may look slightly different from this guide.

Create the group

  1. Step 1:
    Open the paging group list

In the admin portal, go to Extensions, then Paging Groups. The list shows each group's name, number and the phones it reaches.

  2. Step 2:
    Add a group

    Select the add icon.

  3. Step 3:
    Name it

Enter a Group Name nobody else is using, such as Warehouse.

  4. Step 4:
    Give it a number

In Number, enter the number people dial after the paging code. Pick something easy to remember for that team.

  5. Step 5:
    Add the destinations

In Destinations, list the extensions to page, separated by commas. You can include outside phone numbers too. The number of destinations in a group is capped at a set number. If you need a very large group, ask CallSprout support.

  6. Step 6:
    Choose how it behaves

Set the three options described below, then save.

The three options

  • Quiet mode. Phones receiving the page don't play an alert tone first. Turn it on if the tone would be distracting.
  • Two Way paging. Lets the people being paged talk back. Leave it off for announcement only paging.
  • Auto answer. Phones that can answer by themselves pick up and put the page on their speaker. Phones that can't will ring, and someone has to answer. Outside numbers always ring and are never answered automatically.

Tell your team

Share the group number and the code with the people who will page. The steps on their side are in page coworkers and use intercom. For example, to page the Warehouse group above, someone dials *600 followed by 350.

Users also have their own personal paging list, separate from paging groups. They page it with *399. You can change a user's personal list yourself: open the user, select Enhanced Services, then Speakerphone Page, and enter the extensions separated by commas.

Edit or remove a group

Find the group in the Paging Groups list. You can search by name or number. Select the edit icon to change it, or the delete icon to remove it.

Troubleshooting

  • One person never hears pages. If two or more desk phones, or a softphone from another company, are signed in to that person's extension, pages skip it. Having Communicator signed in doesn't cause this. Contact support if you need help sorting out which devices are on the extension.
  • A phone rings instead of playing the page. That phone may not support answering pages on its own, or auto answer is off for the group. Check the group's Auto answer setting, then contact support about the phone.
  • The page reaches the wrong people. Open the group and check the Destinations list for a mistyped extension.
