Copy an existing user's settings to a new user
- Audience: Admins
Last updated
If a new hire needs the same setup as someone already on the team, you don't have to rebuild it field by field. Copy the existing user, then change the details that belong to the new person.
Some labels in your portal or apps may look slightly different from this guide.
Before you start
- Pick the user to copy carefully. Choose someone whose setup is close to what the new person needs, such as a coworker in the same role.
- Have the new person's name, email and extension number ready.
- Adding users can change your bill. Check with CallSprout if you're unsure.
Copy one user
- Step 1:Open the user to copy
Go to Extensions, find the coworker and select the edit icon.
- Step 2:Start the copy
At the bottom of the page, select Copy As New. The portal opens a new user filled in from the one you picked.
- Step 3:Change the extension number
Enter a free extension number for the new person.
- Step 4:Replace the personal details
Type the new person's Name and E-mail. Then go through anything else that should be theirs alone, such as the desk phone's MAC address, the passwords and the PIN.
- Step 5:Review the rest
Check settings that only made sense for the original person, like a personal caller ID or forwarding to their cell phone. Change or clear them.
- Step 6:Save
Select Save. Then use Save & E-mail when you're ready to send the new person their setup details.
Copy one user to many new users
When you add several people at once, you can pick one existing user as a template. Their whole setup is applied to every new user you add in that batch. Tick Extension Template on the bulk add screen and choose the user. The full steps are in add many users at once from a CSV file.
Without a template, new users start without those extra settings, and you'd edit each one afterward.
What to expect
- If the new person takes over the original user's desk phone, decide which user the phone belongs to, and put its MAC address on that user only.
- Check which apps and app features the new person has after the copy. CallSprout support changes those for you. See control which apps and app features each user gets.
Troubleshooting
- The portal won't save the copy. Check for an extension number that's already taken, or a password that doesn't meet the rules. Passwords need a strong mix of letters, numbers and symbols.
- The new user has a setting you didn't expect. It came from the original user. Edit it on the new user and save.
