Use softphone, desk phone or cell for calls

  • Audience: App users
  • Add-on: Communicator apps

Last updated

You can take calls in Communicator on your computer (the softphone), on your desk phone, or on another device. You choose which one Communicator uses, and you can move a call between them.

This feature needs the Communicator apps add-on on your account. See plans and pricing

Some labels in your portal or apps may look slightly different from this guide.

Choose your phones

  1. Step 1:
    Open My Phones
Go to Settings, then Phone, then My Phones. You can also select Go to My Phones at the bottom of the phone dropdown on the dialpad.
  2. Step 2:
    Tick the devices you use
Select Use deskphone, Use softphone, or both. Both are on by default.

If you clear the device you're using right now, Communicator switches to the next one. If you clear both, it tells you that you haven't selected a phone device. Your admin can set a default phone for you. When they do, both boxes are locked and the device they chose is selected.

Some versions show a phone mode dropdown with a mobile app choice too. To ring your cell phone along with your desk phone, see Ring your desk and cell phone together or in order.

Move a call to another device

  1. Step 1:
    Open the device list
While you're on the call, select Switch Device.
  2. Step 2:
    Pick where it goes
Choose the device. The call moves there and rings.

You can also pick the device before you dial. On the dialpad popup, select Switch Device and choose which device the call starts from.

Decide what happens to a second call

Open Settings, then Phone, and find Call Waiting.

  • On (the default). A second call is shown to you while you're on a call.
  • Off. A second call is turned away and goes to your busy destination, which is your busy greeting with voicemail if you have one, or a busy tone.

This setting controls softphone calls only. It doesn't change how your desk phone handles a second call. If second callers always reach voicemail even with Call Waiting on, ask your admin to check how many calls your extension can have at once.

Troubleshooting

  • The device boxes are grayed out. Your admin has set a default phone for you. Ask them if you need it changed.
  • Calls don't ring on your computer. Check that Use softphone is ticked and your headset or speakers are set. See Use a headset with Communicator.
