Change where a phone number rings

  • Audience: Admins

Last updated

Each phone number on your account sends its calls to one destination, such as a user, a phone menu or a ring group. CallSprout support changes destinations and adds numbers for you. Ask for a change when you launch a new menu, move a line to another team, or want a number to ring a different person.

Before you start

Build the destination first. If the number should go to a new phone menu or ring group, create it yourself before you ask for the change, so callers never reach something that isn't there yet. Build your main phone menu (auto attendant) and create a ring group and choose how it rings cover that.

To add a new number, or bring one over from another carrier, ask support too. We'll add it to your account and point it where you want.

Ask support to change a destination

  1. Step 1:
    Note the number
Write down the phone number you want to change.
  2. Step 2:
    Pick the destination
Choose the kind of place from the table below and the exact target, such as extension 1004 or phone menu 500.
  3. Step 3:
    Say when
Tell support whether the change should happen now or at a set time, such as the start of business on Monday.
  4. Step 4:
    Send it to support
Contact CallSprout support with the number, the destination and the timing.
  5. Step 5:
    Test it
When support confirms, call the number from a cell phone and check where it lands.

Menu treeCallers go into a menu you built in the menu tree builder. See build a phone menu visually with the menu tree builder.

VoicemailCallers go straight to a mailbox to leave a message.
Conference roomCallers dial straight into an audio conference.
Fax to emailIncoming faxes arrive by email. Needs the Fax add-on.
Outside numberThe call is sent on to a phone outside your system. Because outside numbers carry a toll fraud risk, only support sets them up.
Deny accessCalls to the number are turned away.
QueueCallers wait for the next free agent. Contact Center Pro only. See create a call queue and add agents.

There are a few other destination types. If none of these fits, describe what you want callers to get and support will suggest one.

What to expect

  • If the number has business hours turned on, calls follow the destination only during open hours. After hours they go wherever the schedule says. Business hours are checked before any caller rules on the number. Business hours on a phone number are set by support too, so include them in your request if they should change. See set business hours and after hours routing.
  • When a number sends calls to an outside phone, a separate setting decides whether that phone shows the original caller's number or one of your account's numbers. Tell support which one you want.
