Schedule a meeting from your user portal

Every CallSprout account can host video meetings. If you don't use Communicator, your user portal is where you schedule them. Communicator users can schedule there too.
Some labels in your portal or apps may look slightly different from this guide.
Before you start
Meetings hold up to 3 participants, counting you, and run up to 45 minutes. The Video meetings add-on raises those limits and is needed for recording. See meeting limits. Recording laws vary by state, and your company is responsible for any notice and consent they require.
Schedule a meeting
- Step 1:Start a new meetingIn your user portal, open Meetings and select the plus button.
- Step 2:Fill in the required fieldsEnter a Meeting Name, a future date and time, and the organizer. A description is optional.
- Step 3:Pick a durationChoose one from the Duration list.
- Step 4:Choose how often it happensPick daily, weekly, monthly or no recurrence. Monthly can use a fixed date or a weekday. For a repeat, set when it stops: never, on a date, or after a number of meetings.
- Step 5:SaveSelect Save.
Add or remove participants
Manage participants becomes available after the first save.
- Step 1:Open the participant listSelect Manage participants on the meeting.
- Step 2:Add a coworkerChoose a coworker, pick a role, either Participant or Administrator, and select the plus button.
- Step 3:Remove peopleSelect the trash icon on a row to remove one person, or use the delete-all button. You stay on the meeting as organizer.
Missing the plus button? Changing the list is up to the organizer, and only until the meeting happens. Besides coworkers, you can invite guests from outside your company by their email address. If you don't see where to add a guest, ask your admin or CallSprout support. Guests join from a browser at proxy.callsprout.com with the meeting number, or at your company's own callsprout.com address on Contact Center Pro. Guests who join from a browser show in the meeting's attendance report. See join a meeting from your browser.
Find, change or cancel a meeting
The meetings page has three views: Scheduled for upcoming meetings, Recent for finished ones, and Date Range. Select a meeting's name to see its number, status and participants. Use the edit and delete icons on a row to change or cancel it.
With a recurring meeting, you choose between that one date and the whole series. Take care with participants here: edit them on one date's page and that date breaks away from the series, so later updates to the series skip it.
Daily email of upcoming meetings
Select Meeting features to pick the days and time of your daily email, or tick the box that turns it off. Leave custom settings off and it arrives at a set time each day.
