Keep call recordings longer with archiving

  • Audience: Admins
  • Add-on: Call recording archiving

Last updated

Every plan keeps call recordings for 30 days. Once a recording passes that point, it can drop out of call history. If your company needs recordings for longer, the call recording archiving add-on keeps them beyond that window. Archived recordings stay in the same CallSprout storage as your current recordings. They're kept longer, and you play them from call history like any other recording.

This feature needs the Call recording archiving add-on on your account. See plans and pricing

Recording and monitoring laws vary by state, and your company is responsible for any notice and consent they require.

Some labels in your portal or apps may look slightly different from this guide.

When archiving makes sense

Think about the add-on if any of these sound familiar:

  • Your industry, or a policy your company sets for itself, says call records have to be held longer than the standard window.
  • Your team goes back to calls weeks or months later, for coaching or to settle a question about what was said.
  • People keep downloading recordings by hand so they don't lose them.

Get archiving set up

CallSprout support sets up archiving.

  1. Step 1:
    Contact CallSprout support
Tell us you'd like the call recording archiving add-on on your account. See contact support.
  2. Step 2:
    Explain what you need
Say how long your company has to keep recordings, and whether a rule or policy is behind it.
  3. Step 3:
    Confirm the details
Before you rely on the archive, ask us to confirm how long your archived recordings will be kept.

Archiving covers call recordings. Recordings that already passed the standard window before archiving was set up may be gone for good. If an older call matters, download it now. See managing call recordings.

Find and play an archived recording

Archived recordings are in call history with your other recordings, and they play the same way.

  1. Step 1:
    Open call history
    Go to Reports, then CDR.
  2. Step 2:
    Show only recorded calls
Set the dates, turn on Show recorded calls only and select the search icon.
  3. Step 3:
    Play it
Tick the call and select Listen.

Troubleshooting

  • An older recording isn't in call history. Check the date range first. If the call is still missing, contact support with the date and time of the call.
  • An archived recording won't play. Contact support with the date and time of the call.
