First steps for your phone system admin

  • Audience: Admins

Last updated

As your company's phone system admin, you run the day to day side of your CallSprout system from the admin portal. CallSprout builds the system and keeps the underlying service running. This page lists what to do first and where each task is explained.

Some labels in your portal or apps may look slightly different from this guide.

What CallSprout already did

You don't run a setup wizard. We set up your account before you got your login. That includes your extension length and your emergency number settings. Your job is to manage the people and call handling on top of that.

Your first steps

  1. Step 1:
Sign in to the admin portal

Use the credentials CallSprout gave you. The steps are in sign in to the admin portal.

  2. Step 2:
    Secure your login

Change the password we issued, and turn on two step verification if it's available on your account. Both are covered in the same guide.

  3. Step 3:
    Learn the layout

Spend five minutes in the portal. Find your way around the admin portal explains the menu, the account menu and the standard and advanced views.

  4. Step 4:
Check how your extensions are numbered

Every extension on your account has the same number of digits, and that length can't change. Read how extension numbers work before you plan any new users.

  5. Step 5:
Review who is on your account

Look through your users and their desk phones, and note anything that needs changing. If the options you expect aren't there, contact support.

  6. Step 6:
    Keep emergency addresses current

Each phone number has one registered emergency address, and CallSprout support sets it. Desk phones and Communicator send the address registered to the phone number on the extension. A number without one sends no address with a 911 call. If a phone moves or someone starts working from a new place, ask CallSprout support to update the emergency address. How emergency addresses work lists what to send.

What you change and what support changes

You manage these yourself in the admin portal: users, ring groups, phone menus and business hours, greetings, hold music, contacts and paging.

CallSprout support handles these for you: phone numbers and where they ring, emergency addresses, calling permissions, which apps each person can use, and Communicator in Teams setup. Support also looks after carrier connections and plan changes. Send support what you need and we'll make the change.

Tell your team where to start

Send new users to welcome to CallSprout and the first day checklist. Both are written for people who aren't admins.
