Set up Communicator in Teams for your company

  • Audience: Admins

Last updated

Communicator in Teams lets your people make and take CallSprout calls without leaving Microsoft Teams. Communicator in Teams is included on every plan. Ask CallSprout support to turn it on for your company. Support handles the CallSprout side of the setup, and this page covers what to check first and what to send.

Some labels in your portal or apps may look slightly different from this guide.

The Microsoft Teams integration features described on this page require an active, permitted connection to Microsoft Teams. Availability depends on that system's supported APIs and permissions.

Before you start

Check these before anyone tries to sign in:

  • Microsoft 365. To use the app in Teams on a computer or in a browser, your organization needs a Microsoft 365 plan that includes Teams. If you're not sure your plan qualifies, ask CallSprout support.
  • Computers. The desktop plugin, which carries the call audio, runs on Windows 10 or newer, or macOS 13.7 (Ventura) or newer. Teams in a browser works with Chrome, Edge or Firefox.
  • Mobile phones. Anyone who wants it on their phone also needs Communicator GO, which comes with the Communicator apps add-on.
  • An email on each extension. People sign in with the email address saved on their extension, so everyone who'll use the app needs one, and each extension needs its own. You can check and fix it on each user yourself.

Ask support to turn it on

  1. Step 1:
    List who needs it
Note each person's name and extension, and check that each extension has the right email address.
  2. Step 2:
    Send the list to support
Contact CallSprout support and ask for Communicator in Teams. Include your list and the name and email of your Microsoft 365 admin.
  3. Step 3:
    Choose who publishes the app
CallSprout can do either. CallSprout can build the app and set it up in your Microsoft 365 with admin credentials you provide, or send the package for your IT admin to publish from your own Microsoft 365 admin center. Either way, your people see it in Teams as Communicator. If your admin publishes it, Microsoft updates these screens from time to time, so follow Microsoft's current instructions for publishing an app to your organization.
  4. Step 4:

What support turns on for each person

Calls from the app use WebRTC, a technology for carrying voice through an app or browser. Support turns on WebRTC for each person's extension and makes sure they show in the app's contact list and search. Secure (TLS) connections for the phone system as a whole are handled by CallSprout too.

If someone gets a "Calls unavailable" message when they try to call, see Fix "Calls unavailable. WebRTC is disabled". For a new hire later on, ask support to add them the same way.

Sign-in options

People sign in with their extension email and their Communicator password. Two other options may apply:

  • Two step verification. If your account requires it, each person sets it up in their user portal before the app lets them in. See Turn on two step verification.
  • Single sign-on. Signing in with a Microsoft or Google account is available on request. Ask CallSprout support, and support turns it on for your company. It can't be used together with two step verification.

Features that start off

Do Not Disturb and hiding caller ID from the app are off until they're turned on for your account. If your people need them, ask support.
