Company, department and personal contacts
- Audience: App users
- Add-on: Communicator apps
Last updated
Communicator's Contacts tab holds your coworkers and your company's outside contacts, such as customers and vendors. You can add your own, and who else sees them depends on the type you pick.
This feature needs the Communicator apps add-on on your account. See plans and pricing
Some labels in your portal or apps may look slightly different from this guide.
Who can see a contact
Every outside contact has one of three visibility settings.
| Type | Who sees it |
|---|---|
| Global | Everyone at your company. |
| Department | People in the departments it's shared with. |
| Private | Only you, as the owner. |
What you can change depends on your role. A department user can view, add and edit contacts. They can delete or merge only the ones they own. A department admin has full control of contacts in their department. CallSprout support gives someone the department admin role when your admin asks.
Find coworkers
- Step 1:Open ContactsSelect Contacts in the sidebar, then the Internal tab.
- Step 2:Search or filterSearch by name, email, department, title or location. Filter by presence, department or logged in devices, and sort by name or presence.
- Step 3:Reach the personHover a row to call, chat or start a meeting. Select More for details or to send an email.
Work with outside contacts
- Step 1:Open the External tabIn Contacts, select External. This is your company phonebook.
- Step 2:SearchSearch by name, email, phone, company or location. The Contact Visibility filter narrows the list to one type.
- Step 3:Add a contactSelect Create New Contact, fill in the details, and choose its visibility.
- Step 4:Edit or mergeUse the dropdown on a contact to view or edit it, or to merge two duplicates.
Before you merge, make sure both copies have the same visibility, since only matching ones combine. The merged contact keeps the history of both. If a button is missing, your role may not include it.
Hover a contact for quick Call, SMS and Email buttons. They use the first phone number or email on the contact. A button is grayed out, with a tooltip, when the contact has no number or email. SMS and Email also need those services set up for your account.
Import a list of contacts
Your admin can import contacts from a CSV file. The Import File button only appears if your extension has the right to import. If you need it, ask your admin.
Troubleshooting
- You can't edit or delete a contact. You may not own it, or your role may not allow it. Ask your admin.
- A contact you expect is missing. It may be a Department or Private contact you can't see. Ask your admin whether it was shared with you.
