Import and export contacts
- Audience: Admins
Last updated
Use a CSV file to add a whole list of contacts at once instead of typing each one. You can also export contacts to a file. Importing needs an administrator or department administrator role. See company, department and private contacts for who can do what.
Some labels in your portal or apps may look slightly different from this guide.
Prepare your file
The first row must be the header row, with these columns exactly: name,last_name,company,contact_type,phone,phone_label,email,email_label,fbUserId,notes. Don't rename, remove or add columns. If the import rejects your header row, ask CallSprout support for a sample file.
| Column | Needed? | What goes in it |
|---|---|---|
| name | Yes | The first name. |
| last_name | Yes | The last name. |
| company | No | The company name. |
| contact_type | Yes | Either customer or lead. |
| phone | No | The number with a plus sign and country code, like +12125550134. A US number without +1 may fail or import wrong. |
| phone_label | No | A label such as home, work, mobile or other. |
| No | The email address. | |
| email_label | No | A label such as private, business or other. |
| fbUserId | No | A Facebook user ID, if you have one. |
| notes | No | Anything you want to keep with the contact. |
The portal offers a template with the right header. Start from it, so you don't have to build the file by hand.
Import a file
- Step 1:Open the import tool
In the admin portal, open Contacts, then CSV Manager.
- Step 2:Choose who sees the contacts
Pick Global, Private (and choose the extension that owns them), or Department (and choose the departments). Every contact in the file gets that visibility.
- Step 3:Pick your file
Choose Choose File and select your CSV. Use Template if you need a blank copy.
- Step 4:Upload
Select Upload and wait for the job to finish.
- Step 5:Check the results
Select Details next to the finished job to see any rows that failed.
Fix rows that failed
The details list shows each failed row with its row number, name and a reason. The header counts as row 1, so the first contact is row 2.
| Reason shown | What to fix |
|---|---|
| First name is required | Fill in the name column for that row. |
| Last name is required | Fill in the last_name column. |
| Invalid contact type | Use customer or lead in contact_type. |
| Invalid CSV format | Look for a missing or extra column, or a quote that never closes. |
Correct the file and import it again. Contacts that already exist are updated, not copied, so you can upload the whole file a second time.
Import from the Communicator app
A person whose extension has the right can import from the app too. In Communicator, open Contacts, then the External tab, and select Import File. The button doesn't show for people without that right. The app shows a total, and how many contacts are new, updated or failed. See company, department and personal contacts.
Export contacts
Choose which contacts you want: Global, the Private ones for one extension, or a department. Then select Download to get a CSV file.
