Start or join a conference call

Your company can have audio conference rooms that anyone dials into by number. Conference rooms come with every plan. Your admin sets up each room, or asks CallSprout support to build it, so ask your admin for the room number and any PINs you need. These rooms are separate from CallSprout video meetings.

Join a conference

   Step 1:

   Dial the conference number

   From your desk phone, dial the room's number. If your admin has connected a phone number to the room, outside callers can dial in on that number.

   Enter the PIN if asked

   Type the room PIN. If you enter it wrong too many times, the call ends.

   Record your name if asked

   Some rooms ask you to say your name so others hear who joined. Follow the prompts to keep, replay or record it again.

   Join the call

   You're in. If you're the only one there, you may hear hold music until someone else joins.

Start a conference as the host

Some rooms stay silent until a host joins. To join as a host, enter the host PIN your admin gave you when the room asks for a PIN. Your admin can also make your own extension a host for that room, so you join as a host whenever you call from your desk phone.

Depending on how the room is set up, the conference may end for everyone when the last host leaves.

Use the in-call menu

If the room has its menu turned on, press the star key during the conference to hear your options, such as muting yourself. Ask your admin which options your room offers.

What to expect

• Some rooms announce when people join and leave, or tell you how many people are on the call.
• Outside callers may join muted until a host unmutes them.
• Your admin can set a room to be recorded. Recording laws vary by state, and your company is responsible for any notice or consent they require.

Troubleshooting

• The call ends after you enter the PIN. Check the PIN with your admin and try again.
• Nobody can talk. The room may be waiting for a host. Ask the host to join, or join with the host PIN.
