CallSprout + Square

Connect Sage, your AI voice agent, to Square so your restaurant or retail shop recognizes returning customers, handles appointment booking automatically, and routes each caller to the right location or team member without tying up your staff. Available for Square.

Overview

How CallSprout works with Square.

A busy lunch rush does not pause for the phone. When a customer calls to ask about their order, confirm a pickup time, or book a haircut at your salon, someone on your team has to stop what they are doing to answer. Multiply that across a Saturday afternoon and the phone becomes a drag on the very staff you need on the floor.

CallSprout puts Sage, our AI voice agent, in front of your Square account. When a call comes in, CallSprout looks up the caller's phone number in Square and surfaces their customer record before anyone picks up. If the caller wants to book an appointment, Sage handles it end to end through the Square Appointments API, writing the reservation directly into your Square calendar. Your team sees a fully booked schedule and a recognized customer, not a sticky note from the front counter.

We build the same pattern for restaurants and retail shops running Square: caller recognition, appointment capture, and smart routing across your locations, all on CallSprout's cloud phone platform. There is no hardware to install and nothing to rip out of Square. Sage works alongside the system you already use.

What you get

CallSprout and Square, working together.

What Sage does once your call data flows into the tools you already use.

Recognize every returning customer

CallSprout matches the inbound phone number against your Square customer records so your staff greets returning customers by name with their history already available, not by asking them to repeat themselves.

Appointments booked without lifting a finger

Sage handles scheduling requests end to end through Square Appointments, writing the appointment directly into your Square calendar so your book stays accurate and nothing falls through the cracks. Requires Square Appointments.

Route each caller to the right location or team member

CallSprout reads your Square Locations and Team data to send each caller to the right place, whether that is a specific store, a particular staff member, or your busiest location's front desk.

Sage answers when your team cannot

During peak hours or after close, Sage stays on the line, captures what the caller needs, and handles appointment requests so your team walks in the next morning with a full book instead of a voicemail backlog.

Caller recognition powered by your Square customer data

Square's Customers API supports phone-number lookup, which is the foundation of this integration. When a call arrives, CallSprout queries Square with the inbound number and returns the matching customer record. Your staff sees the caller's name and purchase history before they answer, and Sage can address the caller by name from the first word.

For a business running Square across multiple locations, recognition still works regardless of which location the customer originally visited. The record lives in your Square account, and CallSprout reads from it. When a caller is not yet in Square, Sage captures their name and the purpose of their call so your team has a complete starting point for creating the record later. Here is more on how CallSprout handles each caller from the first ring.

Appointments written directly into Square Appointments

Square's Bookings API is fully available for creating, modifying, and canceling appointments, and Sage uses it to handle scheduling requests in real time. A caller who wants to book a cut and color, a dog grooming appointment, or a consultation gets the same experience as someone booking on your website: they choose a time, Sage confirms it, and the appointment appears in Square.

Because the write goes directly into Square Appointments, your staff does not need to relay anything or double-enter a reservation. The calendar they look at in the morning already reflects what Sage handled the night before. If a caller calls to reschedule, Sage can modify the existing appointment through the same API. Appointment booking through this integration requires an active Square Appointments subscription.

Smart routing across locations and team members

Square's Locations and Team APIs give CallSprout the data it needs to route calls intelligently. If you run two stores, Sage can ask the caller which location they are calling about and send them to the right line. If a customer always works with a particular staff member, that preference can inform where the call goes.

Routing runs on CallSprout's own phone network, not on Square's side. Square supplies the location and team data; CallSprout applies your routing rules to every inbound call. That means you define the logic once during setup, and every call follows it automatically. You can read more about how call routing works across CallSprout's platform.

Built for the hours when Square is busy and the phone keeps ringing

The value of this integration is highest when your team is at capacity. During a lunch rush, a Saturday morning at the salon, or a holiday retail spike, Sage absorbs the inbound call volume that would otherwise distract your staff from customers already in front of them. Calls are answered, caller records are recognized, and appointments are captured, all without a person leaving the floor.

After hours, Sage keeps working. A customer who calls Sunday evening to book Monday morning gets a confirmed appointment in Square by the time your team opens. Our cloud phone platform keeps Sage available around the clock without any hardware at the location. If you run multiple Square-connected businesses or a franchise, the same setup scales across all of them. Related integrations for restaurant and retail operators include Toast, Shopify, and Clover.

Common scenarios

What this looks like day to day.

Salon or spa during peak booking hours

A caller wants to book a blowout for Friday afternoon. Sage recognizes her from her Square customer record, confirms her preferred stylist is available through Square Appointments, and writes the booking before she hangs up. No receptionist needed.

Multi-location retail shop routing calls correctly

A customer calls the main number asking about a pickup at the downtown location. CallSprout reads the Square Locations data, identifies that the caller wants the downtown store, and routes the call there directly without the caller repeating themselves to two different people.

After-hours appointment capture for a service business

A pet groomer closes at six, but calls keep coming until nine. Sage answers each one, matches the caller against the Square customer list, and books available slots through Square Appointments. The groomer opens the next morning with a full first half of the day already scheduled.

Questions

Square, answered.

Does CallSprout integrate with Square?
Yes. CallSprout connects to Square through its open API to recognize callers from your customer records, book appointments through Square Appointments, and route callers across your locations and team. Appointment booking requires an active Square Appointments subscription. Book a call and we will walk you through the setup.
Does this work for both restaurants and retail shops?
Yes. Square serves a wide range of food, service, and retail businesses, and so does this integration. Whether you run a cafe, a boutique, or a multi-service salon, CallSprout can recognize your Square customers and route calls to the right place.
How does caller recognition work?
When a call arrives, CallSprout queries Square's Customers API using the inbound phone number. If a matching customer record exists, your staff sees the caller's name and information before they answer, and Sage can address them by name. Callers who are not yet in Square are captured with their name and call purpose during the conversation.
Can Sage actually write appointments into Square?
Yes. Sage uses Square's Bookings API to create, modify, and cancel appointments in real time during the call. The appointment goes directly into Square Appointments, so your calendar reflects the booking immediately. This requires an active Square Appointments subscription.
How does routing across multiple Square locations work?
CallSprout reads your Square Locations and Team data to determine where each call should go. You define the routing rules during setup, for example sending calls to a specific location based on what the caller says, and CallSprout applies those rules on its own phone network. Square provides the location and team data; CallSprout handles the routing.
Does Sage record calls, and how does consent work?
Sage can record and transcribe calls, and it announces recording at the start of each call so you meet two-party consent requirements in the states that require it. Transcripts are stored on CallSprout's secure infrastructure and are searchable after the call.
Do we need to replace Square or buy new phone hardware?
No. Sage works alongside Square, not instead of it. CallSprout is cloud-based and runs on the devices your team already uses. There is no new phone hardware to buy and nothing to remove from your Square account.

The customer patterns Sage captures across your Square calls are a signal worth mining. Our sister company Ereos builds custom AI for retail and service businesses on its Watchtower platform, reading across the systems you already run to surface trends you cannot see call by call.

When the insight is in your Square data, not just your phone line

CallSprout keeps your phones answered and your Square appointments filled. When you want AI that reads across your Square sales history, customer records, and call data to surface which product lines are driving inbound volume, which locations are understaffed on peak days, or which customer segments are churning quietly, that is what our sister company Ereos builds. Its Watchtower platform connects to the tools your business already runs and turns that data into signals your team can act on.
