CallSprout + Pipedrive

Connect Sage, your AI voice agent, to Pipedrive so every inbound call surfaces the contact and open deal instantly, books follow-up meetings, and logs itself as a call activity without any manual entry. Available for Pipedrive.

Overview

How CallSprout works with Pipedrive.

Sales teams live inside Pipedrive because it keeps every deal moving. The problem is the phone. A prospect calls, the rep scrambles to pull up the record, half-listens while clicking through tabs, and then either forgets to log the call afterward or writes a one-line note that tells nobody anything. Multiply that across twenty reps and a hundred calls a day and the CRM that was supposed to give you visibility turns into a patchwork of guesses.

CallSprout closes that loop by connecting Sage, our AI voice agent, directly to your Pipedrive workspace. When a call comes in, Sage searches Pipedrive by phone number and surfaces the matching person and their open deal before anyone says a word. Your rep walks into the conversation in context, not catching up. When the call ends, Sage writes it back to Pipedrive as a call activity, attaches an AI summary of what was discussed, and can schedule a follow-up meeting so the deal keeps moving.

It is the same philosophy we bring to every small business phone system: keep your people focused on the conversation, not on the admin around it. Sage works alongside Pipedrive, it does not replace it. Your pipeline stays in Pipedrive; the phone system just stops being a black hole where deal context disappears.

What you get

CallSprout and Pipedrive, working together.

What Sage does once your call data flows into the tools you already use.

Caller and deal on screen before you answer

CallSprout matches the inbound number against your Pipedrive persons and surfaces the contact and their open deal the moment the phone rings, so your rep is in context before they say hello.

Every call logged as a Pipedrive activity

When the call ends, Sage writes it back to Pipedrive as a call activity on the right person and deal, complete with an AI-generated summary and the full transcript, so your pipeline reflects reality.

Follow-up meetings booked inside the call

Sage can schedule a meeting activity in Pipedrive during the conversation, so the next step is already in the deal when the rep hangs up and nothing falls through after a promising call.

Route by deal owner and pipeline stage

CallSprout reads the owner and linked deal from Pipedrive and routes the call on its own phone network, so returning prospects reach their rep directly instead of being passed around the team.

Screen-pop the deal before you answer

The biggest time loss in a sales call is the first thirty seconds. The rep answers, asks who is calling, waits while the caller spells their company name, then spends another twenty seconds finding the right Pipedrive record while the conversation idles. It is a bad experience for the prospect and a rough start for the rep.

CallSprout eliminates it. When an inbound call arrives, the integration queries Pipedrive's persons search by phone number and returns the matching contact and their current open deal. That data surfaces for your rep before they pick up, so the conversation starts with context already in place. The match runs on CallSprout's phone network using live Pipedrive data, not a stale snapshot. When the caller is not yet in Pipedrive, Sage captures their name, company, and the purpose of the call so your team can create the record from a complete starting point. Here is more on how CallSprout surfaces caller context at the moment of the call.

Automatic call logs that actually tell the story

A logged call in Pipedrive is only useful if it says something. A one-line note like 'called, left voicemail' tells the next person on the deal nothing about what stage the conversation is at. Sage solves this by writing a structured call activity back to the right person and deal in Pipedrive, with an AI-generated summary that captures what was discussed, what was agreed, and what the caller's key question or objection was.

The full conversation transcript is also attached, so any team member can read back through the call before a follow-up. Sage announces recording at the start of each call so you meet two-party consent requirements in the states that require it. Because the call is transcribed, you also get a searchable record over time of what your prospects keep asking about, what objections keep coming up, and which pipeline stages tend to go quiet. That feedback is the same reason growing teams add AI call transcription across their lines.

Book the next meeting before the call ends

The moment after a good call is the best time to lock in the next step, and it is also the moment most likely to get lost. The rep has to get back to their desk, pull up their calendar, and send a meeting invite, and by then the prospect has moved on to the next thing in their inbox. Sage shortens that window to zero.

During the conversation, Sage can create a meeting activity in Pipedrive with a date, time, and note, so the follow-up is already sitting on the deal when the call ends. Your rep confirms the time with the prospect on the spot, and the deal keeps moving instead of stalling in a 'next steps pending' limbo. This works through Pipedrive's Activities API, which supports meeting type with a due date and time tied to the relevant person and deal.

Route callers to the rep who owns the deal

A returning prospect calling back on an open deal should reach the rep who knows it, not whoever happens to be next in the queue. CallSprout reads the owner ID from the matched Pipedrive record and routes the call on its own phone network using the rules you define, so deal owners stay connected to their pipeline and prospects do not have to re-explain their situation to a stranger.

During setup you tell us how you want edge cases handled: what happens when the owner is on another call, what to do when the deal has no owner yet, and whether after-hours calls should route to a coverage rep or go to Sage for a callback. Sage handles those flows on CallSprout's cloud phone platform so nothing requires new hardware or a complicated dial-plan rewrite. If you run a larger team across multiple CRMs, you can also see how smart call routing works across the rest of your stack.

Common scenarios

What this looks like day to day.

The returning prospect

A warm lead calls back two days after a demo. CallSprout matches their number to the open deal, surfaces the deal stage and last note for the rep, and routes the call to the deal owner. The rep picks up knowing exactly where the conversation left off, the prospect feels remembered, and the call ends with a booked meeting already in Pipedrive.

The cold inbound call

Someone calls from a number not yet in Pipedrive. Sage answers, introduces itself, captures the caller's name, company, and what they are looking for, and creates a person and deal record with those details. When the rep follows up, they have a complete starting point instead of a blank form.

After-hours inquiry

A prospect calls at 7 p.m. when the sales team is offline. Sage takes the call, captures the key details, logs a call activity in Pipedrive with the AI summary and transcript, and schedules a follow-up meeting for the next morning at the prospect's preferred time. The rep starts their day with the meeting already on their calendar.

Questions

Pipedrive, answered.

Does CallSprout integrate with Pipedrive?
Yes. CallSprout connects to Pipedrive through its API to surface the matching contact and open deal when a call comes in, log every call as an activity with an AI summary, book follow-up meetings, and route calls to deal owners. Book a call and we will map it to your pipelines and team.
How does the caller lookup work?
When a call arrives, CallSprout searches Pipedrive by the inbound phone number and returns the matching person and their linked open deal. That context is surfaced for your rep before the call connects, so no tab-hunting is needed. When the caller is not in Pipedrive yet, Sage captures their details during the conversation so your team can create the record from a complete starting point.
What does the call log in Pipedrive include?
Each call creates an activity of type 'call' on the right person and deal in Pipedrive. The activity note includes Sage's AI-generated summary of the conversation, the key points discussed, and a full transcript attached for reference. It is the same data your rep would write up, without requiring them to do it.
Can Sage book a meeting in Pipedrive during the call?
Yes. Sage can create a meeting activity in Pipedrive with a due date and time while the call is still in progress, so the next step is already on the deal when the rep hangs up. The meeting is linked to the correct person and deal automatically.
How does call routing to deal owners work?
CallSprout reads the owner from the matched Pipedrive record and routes the call on its own phone network to that rep. You define the fallback rules during setup, for example what to do when the owner is busy or when a call comes in after hours. Pipedrive supplies the ownership data; CallSprout handles the routing.
Does Sage record calls, and how does consent work?
Sage can record and transcribe calls. It announces recording at the start of every call so you meet two-party consent requirements in the states that require it. Transcripts and summaries are stored on CallSprout's secure infrastructure and attached to the Pipedrive activity.
Do we need to replace Pipedrive or buy new phone hardware?
No. Sage works alongside Pipedrive, not instead of it. Your pipeline and deal data stay exactly where they are. CallSprout is cloud based and runs on the devices your team already uses, so there is no new phone hardware to buy and no CRM migration.

The call and deal data Sage captures in Pipedrive is also a signal worth mining further. Our sister company Ereos builds custom AI for sales and growth teams on its Watchtower platform, reading across the systems you already run to surface patterns your team would otherwise miss.

When the answer is in your pipeline data, not just your phone line

CallSprout keeps your sales line answered and your calls, deals, and meeting activities flowing into Pipedrive automatically. When you want AI that reads across your CRM, call logs, and win/loss data to surface which deal stages stall most often, which call patterns precede a closed deal, or which rep behaviors correlate with faster close rates, that is what our sister company Ereos builds. Its Watchtower platform connects to the tools your sales team already runs and turns that data into signals you can act on.
