CallSprout + Google Workspace

Surface the right contact before your team picks up, book follow-up appointments straight to Google Calendar, and send a personalized recap through Gmail the moment every call ends. Available for Google Workspace.

Overview

How CallSprout works with Google Workspace.

For small businesses that run on Google Workspace, the phone and the inbox are two separate worlds. A prospect calls, your team answers, and then someone has to remember to send the follow-up email, block the callback on the calendar, and dig up who called before the next conversation starts. Each step is small, but together they add up to dropped leads and slow follow-through that costs you the sale.

CallSprout bridges those worlds by connecting your phone system directly to Google Workspace. When a call comes in, CallSprout checks Google Contacts for a matching phone number so your team sees who is calling before they answer. When the call ends, Sage, your AI voice agent, can book the follow-up appointment straight to Google Calendar and fire a personalized recap email from Gmail without anyone lifting a finger. Every conversation is also transcribed and summarized so you carry real context into the next touchpoint.

This is the pattern we build for small businesses that run on Google Workspace and want their phone system to match: less manual work after every call, better context before every call, and a clear record of what was said and agreed. Sage works alongside the tools your team uses every day, not instead of them.

What you get

CallSprout and Google Workspace, working together.

What Sage does once your call data flows into the tools you already use.

Caller contact on every call

CallSprout matches the inbound number against your Google Contacts so your team sees the caller's name and company before they pick up, giving every conversation a warmer, more professional start.

Follow-ups booked automatically

When a caller needs a callback or a demo, Sage books the appointment directly on your Google Calendar so the next step is captured the moment the call ends, not an hour later when the details are fuzzy.

Gmail recap sent without lifting a finger

Sage sends a personalized follow-up email through Gmail right after the call ends, keeping prospects warm and giving your team a written thread to continue the conversation.

Full transcript and AI summary

Every call Sage handles is transcribed and summarized automatically, so you always have searchable context before your next conversation with the same caller.

See who is calling before you answer

The first few seconds of a call set the tone for everything that follows. When your team has to ask a caller to repeat their name, company, or reason for calling, it signals that the business does not know them. That impression is hard to recover from, especially for a small business competing on service quality.

CallSprout matches the inbound phone number against your Google Contacts before the call connects. If there is a match, your team sees the caller's name and any contact details you have on file the moment the phone rings. The match runs on CallSprout's phone network reading from your Contacts data, so there is nothing extra for your team to look up. Shared main-line numbers surface the associated contact, and direct numbers resolve to the individual. When a caller is not in your Contacts yet, Sage captures their name, company, and reason for calling during the conversation so you have a complete starting point for the record you will create.

Book the follow-up while the caller is still on the line

The moment a call ends is the highest-intent moment in any sales or service conversation. The caller is warm, the need is fresh, and a booked next step dramatically increases the chance they convert or return. But most businesses rely on someone remembering to send a calendar invite after the fact, and that link often gets lost in the noise of a busy day.

CallSprout connects to the Google Calendar API to book follow-up appointments automatically at the end of a call. Sage can confirm the time with the caller, create the event, and add it to the right calendar without your team having to open a tab. The appointment includes the caller's details and a summary of the conversation so whoever takes the meeting already knows the context. Here is more on how AI call transcription feeds that summary automatically.

Close the loop with an automatic Gmail recap

A follow-up email sent within minutes of a call is far more effective than one sent the next morning, but writing it by hand means your team has to context-switch away from whatever came next. Most of the time the email either does not go out at all or it goes out too late to have full impact.

Sage sends the recap through Gmail the moment the call ends, using the conversation transcript to personalize the message with what was actually discussed, not a generic template. The email goes out from your Gmail account under a standard Google OAuth authorization, so it lands in the prospect's inbox as coming from your business, not from an automation platform. You keep full control over the permissions you grant, and Sage only acts within the scope you define. See how CallSprout's AI connect features tie the phone call to the rest of your communication stack.

Built for teams that work inside Google Workspace

Google Workspace is already where your team writes, meets, and communicates. The goal of this integration is to make your phone system feel like a natural part of that environment rather than a separate silo you have to update manually after every call. Sage answers around the clock, so a call that comes in while your team is heads-down on a project still gets a professional response, a booked next step, and a recap in Gmail by the time someone checks in.

If you connect additional tools alongside Google Workspace, the same call can reach further. Zapier and Make can route call data onward to any app in your stack, and Slack can post a notification to your team channel the moment Sage wraps a conversation. Sage runs on CallSprout's cloud phone platform, so there is no new hardware to install and no separate phone system to learn.

Common scenarios

What this looks like day to day.

The warm inbound inquiry

A prospect who filled out your web form calls the next day. CallSprout matches their number to your Google Contacts, your team answers knowing exactly who it is, Sage books the demo on Google Calendar before the call ends, and a personalized Gmail recap lands in the prospect's inbox within seconds.

After-hours callback request

A caller reaches you outside business hours. Sage answers, learns what they need, books a time for your team to call back on Google Calendar, and sends a Gmail confirmation so the caller knows the follow-up is locked in. Your team starts the next morning with a scheduled callback instead of an anonymous voicemail.

Repeat caller from a known contact

A current customer calls from the number already in your Google Contacts. CallSprout surfaces their record before your team picks up, so the greeting is immediate and personal rather than starting from scratch. The call transcript and summary add to the picture your team already has of this customer.

How it works

Getting connected to Google Workspace.

  1. 1

Book a 15-minute call with our team and walk us through how your business uses Google Workspace today, which calendars matter, which Gmail accounts handle follow-ups, and how your Contacts are organized.

  2. 2

We connect CallSprout to your Google Workspace through a standard OAuth authorization, scoping access to Google Contacts for caller lookup, Google Calendar for appointment booking, and Gmail for recap emails, only the permissions your setup requires.

  3. 3

From that point on, every inbound call surfaces the right contact, every conversation that needs a follow-up lands on the calendar, and every call ends with a Gmail recap sent automatically. Book your call to get started.

Questions

Google Workspace, answered.

Does CallSprout integrate with Google Workspace?
Yes. CallSprout connects to Google Workspace through a standard OAuth authorization to match inbound callers against your Google Contacts, book follow-up appointments on Google Calendar, and send personalized recap emails through Gmail after each call. Book a call and we will walk through how it maps to your specific setup.
Do I need to share my Google password with CallSprout?
No. The connection uses a standard Google OAuth authorization flow. You grant specific scopes, such as read access to Contacts, write access to Calendar, and send access to Gmail, and Sage only acts within those permissions. Your Google credentials are never stored by CallSprout.
Which Google Workspace plans are supported?
The integration works with any Google Workspace edition that includes Google Contacts, Google Calendar, and Gmail. That covers Business Starter, Business Standard, Business Plus, and Enterprise tiers. Book a call and we will confirm compatibility with your specific account configuration.
How does caller lookup work with Google Contacts?
When a call comes in, CallSprout queries the Google People API to match the inbound phone number against contacts in your account. If there is a match, your team sees the caller's name and contact record before they answer. Callers who are not in your Contacts yet are still handled professionally, and Sage captures their details during the conversation.
Can Sage book appointments on a shared team calendar?
Yes. During setup we configure which calendar Sage writes to, which can be a personal calendar or a shared team calendar. The OAuth scope is granted at the account level and we scope it to exactly the calendar your workflow requires.
Does Sage record calls, and what about consent?
Sage can record and transcribe calls, and it announces recording at the start of each call so you meet two-party consent requirements in the states that require it. Transcripts and AI summaries are stored on CallSprout's secure infrastructure and are what power the personalized Gmail recap.
Do we need to replace Google Workspace or buy new phone hardware?
No on both counts. Sage works alongside Google Workspace, not instead of it, and CallSprout is cloud based and runs on the devices your team already uses. Nothing gets replaced and nothing gets installed.
