CallSprout + Autotask

Connect Sage, your AI voice agent, to Autotask so every support call becomes a ticket, a time entry, a matched contact record, and a routing decision your help desk can trust. Available for Autotask.

Overview

How CallSprout works with Autotask.

For a managed services provider, the phone is where billable hours go quiet. A client calls with a network alert, your technician works through it in ten minutes, and by the time the next call lands neither the ticket nor the time entry has been written. Multiply that across a week and a help desk can lose a significant slice of real work it actually performed but never captured.

CallSprout closes that gap by placing Sage, our AI voice agent, in front of your Autotask environment. When a call comes in, CallSprout looks up the caller's number against your Autotask companies and contacts and surfaces the matching account before your technician answers. When the call ends, Sage opens an Autotask ticket, attaches an AI summary of the conversation, and posts the call duration as a time entry against the right account and billing code. Your board stays current, your time entries stay accurate, and your techs spend their time fixing issues rather than documenting them.

It is the same pattern we build for every MSP and IT team: keep every piece of work flowing into the system you already run, and stop asking your most skilled people to re-key what the phone already captured. Sage works alongside Autotask, not instead of it.

What you get

CallSprout and Autotask, working together.

What Sage does once your call data flows into the tools you already use.

Tickets created from every call

Sage opens an Autotask ticket the moment a support call ends, attaching an AI-generated summary of the issue so your techs have a full picture without typing up notes or relying on memory.

Billable time, no manual entry

Call duration posts to Autotask as a time entry against the matching account and billing code, keeping billable hours accurate and ready for your next invoice run without anyone opening a timesheet.

Caller account on every call

CallSprout matches the inbound number against your Autotask companies and contacts, so your technician sees the account the moment the phone rings and the exact contact when they call from a direct line.

AI call summary in the ticket

Every ticket Sage creates includes a clean, structured summary of what the client described and what was agreed, giving your team a searchable record of every support conversation without extra effort.

Turn every support call into a billable time entry

Autotask exposes a time entry endpoint through its REST API, and that is the backbone of this integration. When a support call ends, Sage posts the call duration to Autotask as a time entry linked to the ticket it just opened and the account it matched from your Autotask company list. The entry lands in your normal review flow, so a person still approves it before anything reaches an invoice.

This is where the integration pays for itself. The short calls that used to vanish, the after-hours password reset, the five-minute firewall rule, all become captured, reviewable time entries. If you want to see how CallSprout's own pricing works, it is metered and transparent, billed by the second rather than rounded-up blocks.

Screen-pop the right account before you answer

CallSprout queries your Autotask contacts and companies by phone number the moment a call arrives. Your technician sees the matching account on their screen before they say hello, and when a client calls from a direct line the exact contact record comes up alongside it. Shared main numbers resolve to the company, so even a call from a busy front desk opens with the right account on screen.

When a caller is not yet in Autotask, Sage captures their name, company, and reason for calling during the conversation so your team can create the record from a complete starting point instead of a blank form. Routing follows the same data: CallSprout reads the account owner and company data from Autotask and routes each call on its own phone network using the rules you define. Here is more on how CallSprout routes each caller to the right technician.

A clean ticket and AI summary on every call

Every support call Sage handles becomes an Autotask ticket with an AI-generated summary of the issue and what was agreed. Your board reflects reality instead of a backlog of calls someone intended to log later, and your reporting finally counts the phone work that used to be invisible. Ticket notes are written in plain language your techs can read without decoding shorthand.

Because Sage transcribes every conversation, you also get a searchable record of what clients keep calling about. That feedback loop is the same reason teams turn on AI call transcription across the rest of their lines. Sage announces recording at the start of every call, so you meet two-party consent requirements in the states that require it.

Built for the way MSP help desks actually run

Sage answers around the clock, so a client outage call at 2 a.m. still opens a ticket and reaches your on-call engineer rather than landing in a voicemail box nobody checks until morning. During a wave of duplicate calls from a single incident, Sage absorbs the volume so your team can stay focused on the fix.

If you run a different stack, the same pattern is available for ConnectWise PSA, HaloPSA, and Syncro, and you can browse the full integration catalog to see what Sage does with the rest of your tools. Sage rides on CallSprout's cloud phone platform, so there is no new hardware to buy and nothing to replace.

Common scenarios

What this looks like day to day.

After-hours outage call

A client's server goes down at midnight. Sage answers, recognizes the company from the inbound number, opens a priority Autotask ticket with an AI summary of the symptoms, and routes the call to your on-call engineer with the time entry already logged against the account.

The five-minute fix that used to go unlogged

A quick remote password reset that used to vanish from your timesheet becomes an Autotask ticket and a billable time entry without anyone opening a form. The work your team did is the work you can review and invoice.

Major incident overflow

When one outage triggers a flood of client calls, Sage handles the duplicates, captures each affected contact, and keeps your technicians on the resolution instead of the phones. Every call still lands as a ticket and time entry.

Questions

Autotask, answered.

Does CallSprout integrate with Autotask?
Yes. CallSprout connects to Autotask through its REST API to match callers to the right company and contact, open service tickets with AI summaries, post billable time entries, and route calls based on account data. Book a call and we will map it to your billing codes and ticket configuration.
Will it create a new ticket for every call?
Yes. Sage opens an Autotask ticket for each support call and attaches an AI-generated summary of the conversation, so your board stays current without anyone typing notes afterward. We configure which ticket queues, priorities, and statuses it uses during setup.
How are time entries handled?
Call duration posts to Autotask as a time entry linked to the matching company and the ticket Sage just opened. We map your billing codes and work types during setup. Entries flow into your normal review process, so your team approves them before anything reaches an invoice.
How does caller matching work?
CallSprout queries your Autotask companies and contacts by the inbound phone number the moment a call arrives. Your technician sees the matching account before they answer. When a client calls from a direct line the exact contact record surfaces alongside the company.
What happens when the caller is not in Autotask?
Sage captures the caller's name, company, and reason for calling during the conversation and logs it, so your team can create the company or contact record from a complete starting point instead of a blank form.
Can Sage route calls based on Autotask account data?
Yes. Sage reads account owner and company data from Autotask and routes each call on CallSprout's own phone network using the rules you define, for example sending a high-priority account directly to a senior technician. Autotask supplies the data and CallSprout handles the routing.
Do we need to replace Autotask or buy new phone hardware?
No. Sage works alongside Autotask, not instead of it, and CallSprout is cloud based and runs on the devices your team already uses. There is no new phone hardware to buy and no existing tools to replace.

The ticket and time data Sage captures is also a signal worth mining. Our sister company Ereos builds custom AI for MSPs and IT teams on its Watchtower platform, reading across the systems you already run to surface patterns your PSA data alone cannot show.

When the answer is in your PSA data, not just your phone line

CallSprout keeps your support line answered and your tickets and time entries flowing into Autotask. When you want AI that reads across your PSA, RMM, and documentation to surface the recurring issue draining your margin or the client whose ticket volume keeps climbing, that is what our sister company Ereos builds. Its Watchtower platform connects to the tools your MSP already runs and turns that data into signals your team can act on.
